Tiny Oaks Pediatrics Policies

Vaccination policy

 We here, at Tiny Oaks Pediatrics, respect every parent's right as the ultimate decision maker in their children's healthcare choices. However, as medical professionals, we also know that vaccines save lives. An appropriately vaccinated population not only protects those who have been vaccinated, but also those that cannot be vaccinated! This includes your precious newborns in our waiting room and examination rooms. Because of this, we have the following policies in our office.

  • All patients must adhere to the CPS (Canadian Pediatric Society) and Public Health Ontario recommended vaccination schedules. Exceptions will only be made when the child is ill at the time he or she is to receive the scheduled vaccine. A make up dose will be given as soon as possible after your child has recovered from his/her illness.
  • We will only accept new patients who will adhere to the CPS recommended vaccination schedule.


We believe these policies to be the best at protecting all of our patients. Please feel free to ask the doctor if you have any questions about this policy or vaccinations in general!

What to Bring/Expect

  • All care-takers are expected to wear a mask at all times and all children to wear a mask when appropriate. 
  • We currently are unable to see walk-in patients. All patients requiring vaccinations will have in-person visits in order to adhere to the usual vaccination schedule. All other visits currently are being offered via telemedicine in order to decrease risk and exposure to both staff and families while still providing appropriate care. If a specific issue is noted in the telemedicine visit that requires an in-person visit, this will be scheduled later on.
  • Please bring your valid health card for each visit. Failure to provide up to date health card information will result in your claim to OHIP being rejected. These rejected claims will be charged to the patient plus a $25.00 administrative fee.
  • Breastfeeding and formula feeding for infants is allowed in the office. Please do not bring any other foods into the office for consumption. Toys or books are encouraged to be brought by parents to entertain children while waiting in the exam room for their visit. 
  • Please bring a blanket/cover for children coming in for well-visits. All children scheduled for physicals are expected to be undressed before the physician enters the room. As such, we recommend bringing a small blanket for children under 2 while they wait. Patients above age 2 will also be expected to be undressed for their yearly physicals and can wear a sweatshirt or t-shirt while they wait in the exam room.

  

Missed Appointment

We understand that last-minute complications arise, especially for busy parents. Our policies were put in place to avoid last-minute cancellations and provide ample scheduling possibilities for patients needing a visit.

We require 24-hr notice to cancel any appointment. Please call 289-386-0811 and cancel so that we may provide the open slot to other families and allow us to optimize patient and physician time. No-show fees may be charged for regular missed appointments without adequate notice.

  • Regular Patients with No-Shows:

1st missed appointment – The patient will be provided with a warning 

2nd missed appointment – The patient will be charged a no-show fee of $25

3rd missed appointment – The patient will be charged a no-show fee of $50

4th missed appointment – The patient will be charged a no-show fee of $100 and possible dismissal from the practice

No show fees are for each patient missing an appointment. Multiple children within a family missing appointments without adequate notice will be charged per child.

  • Consultations:

Patients missing their first consultation appointment without adequate notice will be charged a fee of $150

Patients missing a consultation follow-up appointment without adequate notice will be charged a fee of $75

Please be respectful of your scheduled appointment. Patients will be charged a no-show fee if arriving late and more than half of the allotted time has passed for your appointment. Late arrivals may need to be rescheduled. Please call ahead if you are concerned that you may be late to your appointment. Please be aware that appointment times may not reflect the actual time you are seen by the doctor.


Parking

Our building is accessible through parking lot 7.  Please bring the parking ticket with you to be validated at the front desk before leaving the office. The first hour is complementary however appointments can take more than an hour and a parking fee will be charged by Halton Healthcare.


Other

We at Tiny Oaks strive to ensure a safe, respectful and welcoming environment to all our families. We ask that patients provide respect to all staff and other families. Open hostility and threats to staff or other families is a reason for dismissal from the practice.

Mask Mandate Policy

Sick patients coming in, i.e. child with a runny nose, cough, fever, vomiting/diarrhea or other Covid19 related symptom, parent and child must wear a mask, patients under 2y of age are exempted from wearing a mask.
